HubSpot Power BI Integration: The Real Options and Their Limits

Does Power BI integrate with HubSpot?

Not out of the box. If you look for a HubSpot connector in Power BI Desktop, you won't find one. As of October 2026, Microsoft's official list of Power Query connectors has no HubSpot connector. Microsoft ships its own connectors for Salesforce and many databases, but not for HubSpot.

That doesn't mean they can't work together. It means you have to choose how the data gets there, and each route has its own cost, HubSpot plan and limits. A poor choice shows up three months later: refreshes take forever, properties are missing, or deals don't match companies.

Power BI HubSpot connector options: four routes (and one to avoid)

The HubSpot API from Power Query
You create a private app in HubSpot and Power BI calls the API with its token. It works on any plan, including the free one, but pagination, rate limits and refresh are yours to solve in M.
A third-party connector
The HubSpot marketplace lists certified Power BI apps built by other companies. They are usually paid with a free trial, and many store your data in their own warehouse: check where, and under which contract, for GDPR.
HubSpot's data share to Snowflake
HubSpot itself shares your CRM data with your Snowflake account, one way and with no code. It requires Data Hub Enterprise (formerly Operations Hub Enterprise). Power BI then reads from Snowflake.
A load into your data warehouse
A scheduled job reads the HubSpot API and writes tables into BigQuery, Fabric or Snowflake. It works with any plan and puts HubSpot next to GA4, ad platforms and your ERP.
Excel or CSV exports
Free, and fine for a one-off analysis. Not for a dashboard that refreshes itself: someone ends up exporting by hand every Monday.

Connecting HubSpot to Power BI through the API: what you need to solve

Pagination

The CRM objects API returns at most 100 records per call, plus a cursor for the next page. With 40,000 contacts that is 400 calls per refresh, written as a loop in M. The search API returns 200 per page, but stops at 10,000 results per query, so it isn't a way to pull everything.

Rate limits

According to HubSpot's API usage guidelines, as of October 2026 a private app gets 100 calls per 10 seconds and 250,000 per day on Free and Starter, and 190 per 10 seconds on Professional and Enterprise (625,000 and 1,000,000 per day). The daily allowance is shared with the account's other private apps.

Custom properties

The API returns the properties you ask for by internal name. Custom ones, such as loss reason or lead source, have to be listed one by one, and a new property won't reach Power BI until you add it to the query.

Associations

A deal is associated with contacts and companies, and a contact can belong to several companies. Associations arrive as lists of IDs that you turn into bridge tables. If you don't decide which company counts, the same deal appears twice and the pipeline is inflated.

Refresh in the Power BI service

What works in Desktop may not refresh once published. According to Microsoft's data refresh documentation, dynamic data sources, such as a URL built inside the query, can't be refreshed in the service unless you use the RelativePath and Query options of Web.Contents. On shared capacity, eight scheduled refreshes a day at most.

The token

A private app token opens your CRM and, if it is written into the query, travels inside the .pbix. Treat it like a password and give it read-only scopes.

The HubSpot Power BI dashboard most teams build

Once the data is joined properly, these are the pages a commercial team uses most:

  • Marketing-to-sales funnel. Contacts by lifecycle stage (subscriber, lead, MQL, SQL, opportunity, customer) and conversion between stages.
  • Deal pipeline. Open amount by stage and by rep, weighted pipeline, stalled deals and the quarter's forecast. The API gives today's state; the trend comes from periodic snapshots or property history.
  • Lead-to-deal attribution. The contact's original source joined, through associations, to the deals it closes. That shows which channel brings revenue, not just form fills. How to split the credit is covered in marketing attribution models.
  • Marketing with cost. HubSpot joined to Google Ads, Meta or LinkedIn spend to get cost per lead, per opportunity and per customer.

For worked examples of pages and measures, see our Power BI sales dashboard examples.

Can you connect HubSpot to Power BI for free?

Yes, with caveats. HubSpot lets you create private apps on its free plan too, and Power BI Desktop is free. With those and a well-written M query, you get HubSpot into Power BI without paying for another licence.

What isn't free:

  • Sharing it. A free Power BI licence only covers your own content. For your team to see it you need Power BI Pro or Premium Per User, or a Fabric F64 or larger capacity, according to Microsoft's licensing guide.
  • Maintaining it. The query that walks the API, new properties and failed refreshes are somebody's job every month.
  • Third-party connectors. They come with a free trial, then you pay.

If you already pay for Power BI Pro and the HubSpot account isn't large, the API may be enough. Once more sources come in, the real cost is maintenance.

How we integrate HubSpot and Power BI

For a dashboard that has to last, we prefer not to hang Power BI directly off the API. We bring HubSpot into your data warehouse (BigQuery, Fabric or Snowflake, whichever you already use or fits best), model contacts, companies, deals and their associations there, and Power BI reads a clean model.

That gives you one definition of lead, opportunity and revenue, weekly pipeline snapshots, HubSpot combined with GA4, ad platforms and your ERP without every report doing its own joins, and data in your own cloud, with GDPR handled by design.

If your case is small and the API is enough, we'll say so and build it that way. We handle it as part of our Power BI consulting or, when several sources are involved, within a business intelligence project and your data strategy. If your CRM is Salesforce, see the Salesforce Power BI connector.

HubSpot and Power BI: frequently asked questions

Does Power BI have an official HubSpot connector?

No. As of October 2026 Microsoft doesn't list one. The connectors you'll find are third-party, or built on the HubSpot API.

Which HubSpot plan do I need to connect it to Power BI?

Any plan works for the API, including the free one. The Snowflake data share requires Data Hub Enterprise. Each third-party connector states which plans it supports.

Can I use DirectQuery with HubSpot?

Not against the API: the data is imported. If HubSpot data sits in Snowflake or BigQuery, Power BI can read it in DirectQuery.

Do custom properties and custom objects come through?

Yes, but you have to request them by internal name. Check that the route you pick covers them before committing.

Do you work with companies outside Spain?

Yes. We are based in Madrid and work with teams across Europe, in English or Spanish.
